Human Resources Generalist - Kaycan

Position Description

Job Summary

This position is responsible for the administration, implementation, and coordination of a wide range of Human Resources programs for the Kaycan Group of Companies (1000 employees). The responsibilities include, but are not limited to employee relations, benefits, Human Resource Information Systems, compensation, training, onboarding, and compliance with all applicable local legislation. In addition, the Generalist will assist the Human Resources Director and other key clients as identified by HRD with the implementation of strategic HR programs. This position will play an important role with helping the site to achieve business goals and objectives.

HR Partner Support to client groups

Employee Relations

  • Respond to employee relations issues in the workplace and work effectively with all parties involved to address and escalate to Sr HR as required.

  • Ensure that all guidance, decisions making and solutions offered will be in accordance to all applicable employment legislations as well as internal policies, processes and procedures and ensure the best interest of both the company and its employees have been taken into account.

  • Prepare HR communications and keep HR communication boards/channels and tools up to date.

  • Participates in department and site level at head office initiatives- JHSC, Engagement & Social Committee.

Onboarding

  • Support hiring manager and drive engagement and completion of Onboarding Checklist.

  • Meet with new hires on day one to review HR Onboarding presentation and paperwork.

  • Compile HR metrics (turn over, head count) analyzing, reporting and identifying emerging trends.

Training & Team engagement

  • Promotes a safe working environment, complies with proper use of PPE, understands applicable EHS programs (reporting incidents, and participates in functional department safety meetings.

  • Continuously develops our corporate culture by leading & supporting all employee wellness & engagement initiatives, and employee Social Events.

  • Proactively helps to drive employee engagement at the site and make recommendation for activities that can improve engagement.

Benefits Administration

  • Oversee administration of the employee benefit and pension plan, including but not limited to; enrolment, updates and terminations; tracking and monitoring any STD/LTD/CNESST/WSIB related claims; liaise with Total Rewards team for plan renewals and responding to employee benefit inquiries.

  • Stay current on trending compensation, employee benefits/perks and HR related trends to ensure industry competitiveness.

Required Qualifications

HRIS Program Administration

  • Manage HRIS data for Kaycan Group of companies. As necessary, run appropriate action reports for audit purposes.

  • Act as liaison / provides counsel among the company, employees, program providers and/or government agencies, resolving issues, seeking guidance, providing information, ensuring compliance with regulations and on employee development and employee relations issues.

  • Systems Administrative lead for Boost, People Group (Microstrategy), People Fluent, PEG, Sunlife and other SG sites.

  • Program Administration: Support annual programs such as People Review, shares ongoing communication and deadlines for annual performance management cycle.

  • Reporting for Pay Equity audits for Québec and Ontario and ensures compliance with the Acts.

  • Primary contact for employees, managers and HR team for questions related to performance management cycle and requirements including system.

  • Coordination/administration/recommendations of the annual merit and incentive processes in coordination with department and HR leadership. Monitors Performance Management program and recommends improvements as necessary.

  • Issues local communications & training for annual performance management cycle and total reward programs ie. PEG, Code of Conduct training, SGIP.

  • Running various reports as requested by HR partners and managers for example: annual me@saint-gobain engagement data/reports, setting of focus groups etc.

  • Supports annual update of HR compliance tied to ICRF requirements and highlights gaps to HR community.

  • Partners, coaches, advises and provides support to other corporate management teams and employees regarding HR related issues and inquiries.

  • Apply the principles of Human Resources, including confidentiality of information, while performing analysis and reporting recommendations to HR Manager. Adhere to the Saint-Gobain Human Resources policies and procedures, as well as the Principles of Conduct and Action.

OTHER DUTIES AND RESPONSIBILITIES (Duties performed occasionally or in addition to essential duties.)

  • Participate and assist in HR and/or Company related projects, committees, functions, activities – i.e., Health and Safety, OQLF.

  • Supports HR Director with general and specialized HR projects as assigned.

Additional Description

MINIMUM KNOWLEDGE AND SKILLS REQUIRED

( List specific education, experience, training/certifications, proficiencies needed. Must support the essential duties and serve as primary criteria for selecting/rejecting candidates)

  • Bachelor’s degree in Human Resources administration or related field.

  • Minimum Experience: 5+ years in Human Resources, with Generalist experience in the key areas; policy development, performance management, exposure to payroll, and employee relations.

  • Strong Proficiency- HRIS systems, MS office.

  • Good knowledge of current employment-related laws and legislations.

  • Effective written and verbal communication that can reach all levels of the organization.

  • Ability to exhibit professionalism and diplomacy with all levels of the organization even under stressful/high pressured situations.

  • High level of critical and logical thinking, analysis to help guide business planning.

  • Strong interpersonal relationship building and coaching skills with the ability to exercise the appropriate level of confidentiality when required.

  • Must be able to work well in a team environment in a respectful way, adapt to change and have the ability to influence others without authority in a direct and positive manner.

  • Excellent organizational management skills and strong attention to detail.

  • Certified Human Resources Professional (CRHA/CPHR) designation.
