The Wistar Institute of Anatomy & Biology Human Resources - Human Resources Generalist in Philadelphia, Pennsylvania

The Wistar Institute has an opening for an experienced Human Resources Generalist to join its Human Resources (HR) department. The HR Generalist is responsible for the employment process for technical, administrative, and service personnel.  Working closely with the Vice President of HR, the HR Generalist performs professional level human resources activities in functions including compensation, training, employee relations, unemployment and related areas and provides service to all Institute employees and responds to external inquiries.

Duties and responsibilities:

Recruitment and Selection

  • Monitors online job requisition process and insures that requisitions are complete and approved.
  • Determines job specifications required by hiring supervisors.  Revises and creates job descriptions as needed.
  • Formulates recruitment strategies which may include: internal job postings, external advertising, college recruitment, job fairs, Internet postings, etc.
  • Creates and places all external advertisements.
  • Attends off-site recruiting events including job fairs
  • Partners with hiring managers to screen and evaluate resumes and applications to determine most qualified candidates for technical, administrative, and service personnel.
  • Updates and maintains applicant tracking database.  Sends notifications to unsuccessful candidates. 
  • Maintains compliance with Affirmative Action regulations including internet applicant tracking.  Establishes meaningful contacts with appropriate agencies and organizations of and for individuals with disabilities, veterans, minorities and women.
  • Schedules and interviews job candidates.  Provides candidates with specific and general information regarding job duties and responsibilities, benefits, Institutional policies, etc.
  • Reviews applicant credentials with hiring supervisor.  Provides personal recommendations when appropriate.
  • Conducts reference checks and coordinates background screening (when applicable).
  • Determines salary ranges within Institutional guidelines.
  • Extends offers of employment.

General Functions

  • Data entry for HRIS system (new hires, terminations, promotions, adjustments, etc.)
  • Compiles information for, and prepares EEO-1 AAP, and VETS-4212 reports. Monitors and tracks employees with disabilities.
  • Maintains Institutional postings for federal, state and local labor law postings.
  • Tracks and processes research assistant promotions.
  • Coordinates with IT, Security, and other departments as necessary for new hire onboarding and conducts new hire orientation.
  • Coordinates off-boarding process for departing employees, and conducts exit interviews for technical, administrative, and service personnel.  Tracks data and recommends action items for continuous improvement based on trends.
  • Prepares, distributes, and processes year-end salary changes. 
  • Coordinates performance appraisal process and ensures completion.
  • Processes post-doctoral trainees and visiting scientists offer letters and annual increases and tracks appointments.
  • Responds to unemployment compensation claims and may attend hearings as necessary.
  • Exercises attention to detail and sound judgment in response to internal and external situations.
  • Completes employment verifications.
  • Consults with the Education & Training department on administrative & hiring process for their various programs (i.e. Technician Trainee summer programs, High School Program, etc.)
  • Participates in departmental projects and programs.
  • Assists Vice President of Human Resources with special projects including, but not limited to compensation and salaries, diversity, equity & inclusion initiatives.

Training and Development

  • Assesses Institutional needs for training programs in consultation with the Human Resources Director and Senior Leadership.
  • Conducts on boarding program for all new hires.
  • Coordinates and conducts training programs for supervisory and non-supervisory staff, including, but not limited to harassment training.

Immigration Support

  • Coordinates hiring process for all foreign nationals with Immigration Associate.

Education requirements: Bachelor's degree in business related function or equivalent education and work experience required.

*Experience Preferred: *Three to five years recruiting and employment experience with progressively increasing levels of responsibility.

*Specific Knowledge, Skills, or other Qualifications: *Excellent oral and written communication skills. Excellent organizational and analytical skills required. Ability to interact with people in a courteous and professional manner. Working knowledge of general personnel law and procedures required. Computer knowledge including word processing, spreadsheets, Internet and HRIS software preferred.  Ability to handle multiple tasks in a fast-paced environment required.
