Summary The incumbent serves as the Mental Health care line Secretary to the Mental Health Chief Psychology Services (MHCOPS) and is in the Coatesville VA Medical Center in Coatesville, PA. Responsibilities Major duties include but are not limited to: Supports the administration of mental health by performing routine administrative clerical work. Personally responds to routine and non-technical requests for information such as status of reports, duty status of MH personnel and similar information readily available from the files and other available offices sources Maintains the calendar of the service line supervisors, scheduling appointments and meetings without prior consultation based upon personal knowledge of their workload and current issues of importance. Schedules and prepares material for educational conferences, staff and medical center meetings and in-service training sessions provided for the MH staff. Receives telephone calls and greets visitors; screens calls determining the nature and purpose of the call and refers those not requiring the supervisor's direct attention to other staff members, and/or handles the calls independently Responds to requests for information such as status of clinic appointments, availability of treatment resources, provider contact information for specialty treatment, and correspondence from other medical centers, service representatives and Veterans Composes correspondence on administrative or clerical functions of service line supervisors, as well as composes routine correspondence on other subjects as outlined in regulations and procedures and/or as specifically requested by the supervisor. Proofreads outgoing correspondence for procedural and grammatical accuracy. Assists in the maintenance, tracking and preparing of personnel folders, proficiencies, and other personnel forms and actions for the service line supervisors. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 05/29/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience providing clerical and administrative support to staff; receiving visitors and telephone calls; managing calendars and schedules; making commitments for management to attend meetings; tracking pending appointments, meetings and other commitments for management; using various software to compose electronic correspondence, reports, and memoranda such as Microsoft Word, Excel, PowerPoint, Outlook, etc. You will be rated on the following Competencies for this position: Attention to Detail Clerical Computer Skills Customer Service Interpersonal Skills Veteran and Customer Focus Writing Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Additional Information Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
