Description

Under the direction of the Human Resources Director, the Human Resources Generalist, HRIS, Operations & Systems Administration, is a key contributor to the Human Resources Department. They oversee the management of Fenway Health’s Human Resources Information System (HRIS); build and generate reports and department dashboards; and assist with the development of HR policies. The HR Generalist also helps with special projects and initiatives.

Representative Duties

Human Resources Platforms and Database Management:

Human Resources Information System (HRIS):

  • Collaborates with HR staff and leadership to determine the short- and long-term information and system objectives; develops a plan to modify or replace HRIS applications, modules, and systems to meet those objectives

  • Assesses current system and utilization; identifies and recommends improvements such as training, customization, and enhancements to maximize value and efficiency of the HRIS

  • Liaise with HRIS vendor on system enhancements and troubleshooting, ensuring data integrity, and system optimization. Analyze, detect, identify and correct technical problems and deficiencies

  • Improve HRIS HR workflow processes to achieve greater efficiencies

  • Serve as the lead HRIS vendor liaison, coordinating with other Fenway Health departments to create greater interdepartmental efficiencies

  • Support the ongoing evaluation of HRIS functionality and organizational/departmental needs

  • Responsible for identifying system requirements, establishing and maintaining all benefit carrier feeds ensuring proper functioning. Troubleshoots issues with vendors Partners with Benefits & Absence Management Generalist to ensure accuracy of content

  • Prepares training materials, guides, and documentation. Provides user training and hands-on support

  • Configure HRIS in preparation for annual open enrollment and any other benefit changes

  • Serve as backup and quality control by reviewing all daily, weekly, monthly, employment changes to ensure accuracy and timeliness of data entry in support of payroll processing

  • Interface with both HRIS and PEO databases and ensure consistency between platforms

Employee Records:

  • Oversee maintenance and enhancements of electronic employee record management platform (DynaFile)

  • Audit naming conventions for consistency and ease of access

  • Identify new and troubleshoot existing integrations with vendors to create efficiencies

HR Ticketing and Employee Information Platform:

  • Serve as subject matter expert on ticketing application (Zendesk) ensuring the HR team is utilizing the platform to its fullest capacity

  • Provide monthly reporting on HR ticketing and Info Center searches, trends, and recommend changes as a result of the data; partner with HR Coordinator to determine how to capture most relevant information to make data-driven decisions

  • Provide ongoing enhancement of accessibility of information for staff

Reporting and Analytics:

  • Design and deliver meaningful HR data and analytics in support of HR strategic initiatives and objectives

  • Collect and compile HR metrics from a variety of sources including HRIS, payroll outputs, employee surveys, exit interviews, employment records, Zendesk, and other sources

  • Work across HR technologies to design, develop, test, deploy and maintain reports and dashboards, liaising with HR subject matter experts (SME) and other stakeholders to understand specific data needs and priorities

  • Produce and deliver standard (monthly, quarterly, and annual) and customized HR reports Respond to HR data requests on an ad hoc basis by gathering, analyzing, and reporting relevant data from various sources

  • Analyze data and statistics for trends and patterns with attention to recruitment, hiring practices, motivation, turnover/retention, demographics, and compliance

  • Prepare reports of data results, presenting and explaining findings to HR leadership. Make recommendations for policies and activities to improve the organizational culture including suggestions to attract and hire qualified candidates, to motivate and retain employees, to address staffing issues, and to maintain compliance

  • Prepare census, deduction, and other reports for internal and external stakeholders

Compliance and Administrative Responsibilities:

  • Unemployment Claim Submission: Respond to all Department of Unemployment Assistance (DUA) requests for information in a timely manner; Notify DUA and employees of fraudulent claim activity; Reconcile monthly DUA bill and work with Third Party Administrator (TPA) to correct charges; Assist with DUA hearings; Liaise with HR colleagues to ensure proper reporting; Support annual evaluation of self-funded compared to fully-insured payment model

  • Support the Director of Compliance in tracking required annual trainings

  • As required by The Joint Commission, partner with HR colleagues in ensuring annual performance review compliance; provide required reports to Quality Improvement Team

  • Ensure compliance with local, state, and federal regulations, including but not limited to OIG, EEOC, ACA and OSHA reporting. Support TA & Comp Generalist with annual Affirmative Action Plan (AAP) reporting

  • Assist in preparing for internal and external audits by reviewing files and collecting requested documents, and partnering with auditing firms

Engage in special projects and initiatives and provide administrative support to the HR function

  • Support the organizations exit and stay interview program to enhance employee engagement, partnering with relevant team members to collect exit and stay data, analyze trends, and develop feedback loop to department leadership.

  • Leverage technology to contribute towards employee recognition and retention initiatives

  • Partner with HR colleagues in developing and implementing the First-Year Experience

  • Build trusting relationships with staff members and leaders at all levels of Fenway Health; serve as a credible resource on all areas of accountability

  • Assist in updating and revising policies and procedures; interprets policies for our customers

  • Develop and maintains reports and dashboards on a variety of topics pertaining to areas of accountability

  • Respond to department phone calls, emails, and tickets, providing excellent customer service to internal and external stakeholders

  • During high volume, may support Talent Acquisition team as needed

Perform related duties as assigned

Requirements

  • Bachelor’s degree in human resources or related field (or equivalent 4 years work experience)

  • 3-5 years working in the Human Resources field

  • Minimum 2 years’ experience with Human Resources Information Systems (HRIS), including Core HR, Applicant Tracking & Onboarding, Time & Attendance, and Payroll functions

  • Excellent interpersonal and technical support skills

  • Must be a self-starter with the ability to take initiative, work independently, and use creative problem-solving skills to solve technical or process-related problems

  • Excellent time management and organizational skills and impeccable attention to detail

  • Proven ability to work within multiple online databases simultaneously

  • Ability to handle multiple tasks and prioritize assigned duties

  • Excellent communication and customer service skills and the ability to work independently

Preferred Qualifications:

  • At least two years of experience with HR business systems preferred

  • Experience with Paylocity a plus

  • Experience with Zendesk a plus

  • Strong business analytical and project management skills

  • Working knowledge of Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint

  • Experience working with an ethnically, culturally and racially diverse staff

  • Ability to master new computer applications

Physical Requirements:

Salary Description

$61,400 - $76,800 /year
