Robert Half Executive Assistant in Boston, Massachusetts

Description We are offering a unique opportunity for an Executive Assistant role based in Boston, Massachusetts. The primary function of this role is to provide administrative support within a community-based non-profit industry. This role will be carried out on-site and is a contract employment opportunity.

Responsibilities:

• Provide administrative support to the President, including coordinating meetings and managing activities of the Executive Office

• Engage with internal and external stakeholders, setting a welcoming tone for the Executive Office

• Coordinate the President's schedule for internal and external meetings, including travel arrangements when necessary

• Schedule meetings with internal and external stakeholders, acting as the point person for distribution of materials, attendance tracking, and follow-up

• Organize and prepare all necessary materials for meetings, ensuring timely access for the President

• Work collaboratively with other team members, particularly those in Philanthropy and Marketing and Communications

• Exhibit strong proofreading, copy-editing, and writing skills

• Maintain a positive attitude and sense of humor, contributing to a positive work environment

• Perform other general administrative duties as needed.

Skills:

• Proficiency in Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, About Time

• Experience in Calendar Management, Correspondence, C-Suite, Documentation

• Proven ability to Distribute Meeting Minutes, Coordinate Meetings. Requirements • Must have a minimum of 5 years of experience as an Executive Assistant

• Proficient in Microsoft Office Suites including Microsoft Excel and Microsoft Outlook

• Experience with Concur and CRM software is essential

• Ability to manage calendars and coordinate meetings effectively

• Excellent written communication skills for handling correspondence and documentation

• Familiarity with C-Suite level support

• Experience in distributing meeting minutes

• Expertise in managing about time

• Proven ability to coordinate meetings

• Ability to handle sensitive and confidential information with discretion

• Strong organizational and problem-solving skills with the ability to multitask

• Excellent interpersonal skills for interacting with high-level executives

• High attention to detail and accuracy

• Ability to prioritize tasks according to importance and deadlines

• Self-motivated and able to work independently

• Strong verbal communication skills for conveying information effectively to staff and clients.
